Notify the client about a booking: SMS from your own phone and the “New booking” template

After a booking the CRM offers to send the client a ready “You're booked” text by SMS from your phone, Viber, Telegram or WhatsApp. One text for the whole salon, with the date, weekday, price and address.

A client booked by phone and a week later doesn't remember the time. A “You're booked” message right after booking removes half of these questions. In BeeSection you can send it two ways: yourself from your phone, or automatically.

Where it is in the CRM

  • “Notify the client” button: in the appointment card, under the specialist and price.
  • The “New booking” text: “Settings → Reminders”, the “Booking confirmation” block.
  • Automatic sending: same place, switches for online booking and for CRM bookings.

Send from your own phone

Save the appointment and the CRM immediately offers to notify the client. A window opens with a ready text. You can adjust it for this client only, for example add “bring your gift card”.

Then choose how to send:

  • SMS. Your phone's regular Messages app opens with the client's number and the text. Tap “Send”. The SMS goes from your SIM at your carrier's rate, no provider needed.
  • WhatsApp. A chat with the client opens with the text already filled in.
  • Viber and Telegram. A chat with the client opens and the text is copied. Paste it and send.
  • Copy. If the client talks to you somewhere else.

Not now? Tap “Don't send”. The “Notify the client” button stays in the appointment card.

The appointment's reminder log gets a note of how and when the message was sent. We can't see whether an SMS from your phone arrived, so the note means “opened with the ready text”. After such a note the automatic confirmation will not go out a second time.

One text for the salon

The “You're booked” text is set once in reminder settings, and everything uses it: the button and the automatic confirmation. For example:

Hi {client}! You're booked for {service} {day}, {date} at {time}, to pay {price}
Address: 210 Borshchahivska St
Best regards, Easy Peasy studio

The client receives:

Hi Veronika Dobryvoda! You're booked for Deep bikini wax tomorrow, 25.10.2026 at 09:00, to pay 800 UAH
Address: 210 Borshchahivska St
Best regards, Easy Peasy studio

Available placeholders:

PlaceholderWhat appears
{client}client's full name
{service}service
{master}specialist
{date}date: 25.10.2026
{day}“today”, “tomorrow” or the weekday
{weekday}weekday: Sunday
{time}time: 09:00
{price}price: 800 UAH; nothing if the visit is free
{salon}salon name
{address}location address
{link}“reschedule or cancel” link

Words like “tomorrow” and weekdays are written in the company's language, not in the language of whoever pressed the button.

Line breaks are kept: the address and signature stay on their own lines. The “Cancel or reschedule” link is added at the end automatically, even if you didn't insert {link}. That link is how a client reschedules instead of simply not showing up.

Check the text with “Show example”: it fills in the data of the latest appointment.

Automatically, without the button

If a channel is connected that can deliver the confirmation by itself, you don't have to send it manually:

  • Online booking. The client booked themselves and the confirmation goes out at once. On by default.
  • CRM bookings. A separate switch, off by default. When on, the confirmation goes out one minute after the appointment is saved. The minute leaves time to cancel a booking made by mistake.

The automatic confirmation is not sent for backdated appointments, a series of appointments or the waitlist: otherwise the client would get ten messages at once.

It goes through the same channels as reminders: Telegram bot, email, SMS via a provider. Without an SMS provider it reaches only those who subscribed to the bot or left an email. So until you have a provider, it's easier to keep the CRM switch off and send SMS from your phone. How to connect a provider: “SMS via a provider: how to connect and check”.

What happens next, a day before the visit: “Client reminders”.
