A booking link in the chat: the client picks the time, and the channel is counted

“Is Thursday free? What time? With Olena?” — five messages for one booking. Send a link with the service and master already chosen: the client sees the free slots and books themselves, and the booking lands in the report as Instagram, Telegram or Viber.

An online administrator books clients from chats. Most of those messages are about finding a time: "how about Thursday?", "a bit later?", "with another master?". While the administrator checks the calendar, the client writes to another studio.

It's easier to let the client look at the free time themselves. That's what the booking link is for, and you can build one for a specific conversation.

  1. Open Appointments and press "Link" at the top of the page. The same window opens from the "Link with a service, master and channel" line under your booking page address.
  2. Where the client came from — choose the channel you're talking in: Instagram, Telegram, Viber, WhatsApp, Facebook or TikTok. The window remembers the last choice, so if you answer in Instagram all day, you won't have to choose every time.
  3. Service — if the client already said what they want, pick it. Leave it empty and the client will choose.
  4. Master — a specific one or "Any available".
  5. If you have several locations, choose the Location.
  6. Press "Copy" and paste it into the chat. On a phone, "Share" opens the messenger straight away.

The client opens the link and immediately sees free slots for exactly this service and master. All that's left is to pick a time and leave a phone number.

Only services and masters open for online booking can go into the link. If the window says online booking is unavailable, check that such services exist and that the masters' schedules are filled in.

What happens to such a booking

  • The booking appears in the calendar by itself, and the confirmation and reminders go out as for any online booking.
  • The "Where the client came from" field holds the channel from the link. In the "Where clients come from" report the booking counts as Instagram rather than "online booking", so you can see how many people each chat brings.
  • The fact that the client booked themselves is stored separately. You can see how many bookings the link closed and how many you had to enter by hand.

The permanent booking page link in your Instagram header can carry a channel too. Add ?ch=instagram to the end of the address, for example book.beesection.com/easy-peasy?ch=instagram. The standard utm_source=instagram tag works as well if you already use UTM tags. An unknown tag changes nothing: the booking counts as a regular online booking.

When to book by hand anyway

If the client says "just book me whenever suits", enter the booking yourself and mark the channel in the "Where the client came from" field. How to do that and what the report shows is in Where the client came from. The booking page itself and where to put its address are covered in Online booking: how to turn it on.
