A course dropped halfway: book the next session and bring back the ones who vanished

A client did four sessions out of twelve and vanished. They didn't get the result, you didn't get the rest of the payments. Three tools that keep a course going to the end: booking the next session from the card, a list of who is due, and an automatic reminder.

A twelve-session course is rarely dropped out of dissatisfaction. It's dropped because "I'll book later" stayed "later". The client didn't get the result, and the studio lost eight paid visits.

Three things help keep a course going. All of them run off one setting — the interval between sessions.

First: the interval

Open Settings → Catalog → Packages, the course, and fill in "Days between sessions". For laser hair removal it's usually 30–45 days, for massage — 7.

The interval goes into the course at the moment of sale, like the price and the number of sessions. Courses sold earlier won't have it, and these tools won't work for them.

1. Book the next one while the client is in the studio

Open a booking of a client with a course. The green course note has a "Book the next session · in 30 days" button. It opens a new booking with the same client, service, master and time already filled in, and the date one interval later. The price is the course price.

The best moment is the end of the visit, while the client is still there: a date picked together holds better than "I'll text you".

If the master is busy that day, the form has "Nearest slots" for 14 days ahead below — pick a neighbouring day.

2. The "who is due" list on the dashboard

The Dashboard gets a "Courses with no next booking" card. It lists clients whose next session is already overdue and who have nothing booked:

  • name and phone;
  • the course and how many sessions are left;
  • how many days overdue, e.g. "+12 d".

The "Book" button opens a booking with the course's client, service and master. If your administrator works in Instagram or Viber, the phone is right there — message the client from there.

A cancelled booking or a no-show doesn't count: the person won't come to it, so they stay on the list. Once the client is booked, they drop off.

The card only appears when someone is on the list.

3. An automatic reminder

If nobody has time to write by hand, hand the reminder to a campaign. It's part of the "Client retention" plugin: Settings → Integrations → Plugins → Client retention → Campaigns.

  1. Create a campaign of the "Course not finished" type.
  2. Choose the channel: SMS, email, WhatsApp or Viber.
  3. In "Days after the session was due" set how long to wait. A week is sensible: the client may simply book a bit later.
  4. Write the text. Besides the name and the booking link, it supports {course} — the course name and {sessions_left} — how many sessions are left.

For example:

{first_name}, you have {sessions_left} sessions of "{course}" left. For the result to hold, the next one should be now: {booking_link}

The campaign won't message the same client more often than the minimum interval allows. If they have two dropped courses, they get one message. Nothing is sent at night, during quiet hours.

Where to start

Set the interval on your courses and make "Book the next session" a habit at the end of every visit. In a month, look at the "Courses with no next booking" card: if it's empty or has two or three people, that's enough. If the list is long, switch on the campaign.
