Packages - how to sell a course and stop counting sessions on paper

A course of ten sessions, an unlimited monthly pass, a bundle of "any five visits". How templates are set up, how they are sold and how sessions are deducted at the visit.

A ten-session massage course, a monthly solarium pass, a bundle of "five haircuts of any kind" are all packages. They are sold in advance, so they need tracking: how many sessions are left and until when. That used to live in a notebook; now it lives in the client card.

Packages are available on the Start plan and above.

The package template

First a template is created in the catalogue:

  • a name, such as "Back massage, course of 10";
  • a type: a number of sessions, or unlimited;
  • the number of sessions for the first type;
  • validity in days from the sale, or no limit;
  • a price;
  • contents: which services it covers.

Contents can be left empty. Then the package covers any service: "ten visits for anything".

The sale

A package is sold to the client from their card. You pick the template, adjust the price if needed, and the sale is posted to the register at once with the chosen payment method. Validity counts from the day of sale.

At the moment of sale the list of services is frozen inside the package itself. If a month later you remove a service from the template, packages already sold keep it: obligations to the client do not change when the catalogue is edited.

Deduction at the visit

When a client with a valid package comes in, "Apply packages" is pressed in the visit. The system takes each service in the visit, finds a package that covers it and deducts a session. Pressing again does not deduct a second one.

Services covered by a package do not enter the amount to pay; they are counted separately as "covered by package". Reports then show how much work was done under packages, and the specialist's pay includes these services. Discounts do not apply to covered services: they are already paid for.

When the sessions run out, the package gets the status "depleted". An expired package cannot be applied even if sessions remain.

Cancelling a visit

If a visit is cancelled after the deduction, the session returns by itself: the used counter goes down, and a depleted package becomes active again. Sessions can also be deducted and returned by hand from the client card.

Worth knowing

A package without a validity period is an obligation forever. If you are not prepared to serve a client with a package two years from now, set a period.

An unlimited package covers any number of visits within its period, so a period is essential for it even though the system lets you leave it empty.
